Summary
The position is a direct report to the Corporate Executive Assistant/Office Manager, who reports to the Chief Human Capital Officer. This involves sitting at the front desk and providing all front desk and office administrative support daily from Monday to Friday, 8 AM to 4 PM on site in Arlington, VA.
The individual will interface daily with Executives, including the CEO, COO, CFO, and CHCO, supporting various projects as directed. They will also provide administrative support for the Leadership Academy program, including logistics management, participant coordination, and event support for kickoff and graduation events. The Executive Corporate office supports a headcount of 30-40 individuals, primarily C-Level, SVPs, or VPs.
Role Responsibilities
• Front Desk: Greet guests, assign office space, receive and send mail and packages, answer and direct calls
• Logistics Management: Coordinate scheduling, calendar invites, materials preparation, and pushing slides during monthly virtual modules
• Event Support: Provide on-site support for kickoff and graduation events, including setup, material distribution, catering coordination, and other logistics
• Participant Coordination: Manage participant communication and handle cancellations. special requests
• Kitchen and Supply Maintenance: Ordering/restocking supplies, maintaining cleanliness and organization
• Internal/External Vendor Management: Working with building management/maintenance for any needed office work orders, and any/all outside vendors providing services for the office location
• Space Management: supporting employees/guests with and maintaining the hot desk reservation system
Experience and Requirements
• 5+ years administrative support in a corporate office setting to include activities listed above
• Proficient in MD Office/365 – Outlook, Outlook Calendar, Word, PowerPoint, Excel, etc.
• Strong office management capabilities
• Experience with event planning / support
• Experience with expense reporting
• Strong communications, interpersonal, and customer service skills
• Strong organizational skills and ability to multi-task
• Polished professional
• Fast learner, eager to take on additional responsibility and learn new skills.
This is a temp to perm position starting at 30-35/hour with potential for an increase in salary when it goes perm (estimated 6 months). We do offer our temps benefits if desired (medical, dental, vision).
